1. Who we are
PIER Commercial Real Estate Management, LLC (“PIER,” “we,” “us,” or “our”) is a Georgia limited liability company providing commercial real estate management services from 5105 Paulsen Street, Suite 200A, Savannah, Georgia 31405. This policy explains what we collect through piercommercial.com and our tenant and vendor maintenance portal at piermaintenance.com, why we collect it, and who we share it with.
2. The short version
We do not sell your personal information. We do not rent, trade, or otherwise disclose it to third parties for their marketing or promotional purposes. We share the minimum necessary with the vendor assigned to perform work you have requested, and with the property owner where the lease makes a repair the tenant’s obligation. That is the extent of routine sharing.
3. Information we collect
When you submit a maintenance request we collect your name, telephone number, email address, the property and suite, the category and description of the issue, and any photographs or video you attach. Attaching at least one photograph or video is required so that the correct trade can be dispatched.
When you consent to text messages we collect the mobile number you provide and a record of your consent.
When a vendor uses the portal we collect the vendor’s company name, contact email, scheduling and arrival information, completion notes, and any photographs or video documenting the work.
When you use our websites we and our service providers may collect standard technical information such as IP address, browser type, pages viewed, and approximate location derived from IP address, together with cookies and similar technologies as described in our cookie notice.
We do not collect Social Security numbers, payment card numbers, or bank account details through these websites.
4. How we use information
We use what we collect to receive, evaluate, dispatch, schedule, perform, and document maintenance requests; to communicate with you about a request; to determine under the applicable lease whether a repair is a landlord or tenant obligation and route it accordingly; to maintain the maintenance history of a property; to operate, secure, and improve the websites; and to comply with law.
5. How we share information
Service vendors and contractors. To perform requested work we provide the assigned vendor with the property and suite, the reported issue, any photographs or video you attached, and a contact name and telephone number so the vendor can arrange access. Vendors receive only what is operationally necessary for the job.
Property owners and corporate contacts. Where the applicable lease makes a category of maintenance the tenant’s obligation, we forward the request to the tenant’s designated owner or corporate contact rather than dispatching it at the landlord’s expense.
Service providers who operate our systems. We use third parties for website hosting, database and file storage, transactional email, and text messaging. They process information only on our instructions and only to provide those services.
Legal and safety. We may disclose information where required by law, subpoena, or court order, or where necessary to protect the rights, property, or safety of PIER, our tenants, our clients, or the public.
We do not sell personal information, and we do not share it with third parties for their own marketing or promotional purposes.
6. Text messaging
Tenants may optionally consent to receive automated service-status text messages about a maintenance request. Consent is given by checking an unchecked box on the request form at piermaintenance.com, is entirely optional, and is not a condition of service.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
7. Photographs and video
Images and video you attach to a request are stored with that request and form part of the maintenance record for the property. They are visible to our management staff and to the vendor assigned to the work. Please do not include people, documents, or other material in an image that you would not want shared for that purpose.
8. Cookies
Our websites use cookies and similar technologies for site functionality, security, and analytics. You can control cookies through your browser settings and, where offered, through the consent banner on our site. Disabling some cookies may affect site functionality.
9. How long we keep information
We keep maintenance records, including submitted images, for as long as needed to manage the property and to meet our contractual, accounting, insurance, and legal obligations. Text message consent records are retained for as long as you remain opted in and for a reasonable period afterward to evidence the opt-out.
10. Security
We use industry-standard measures including encrypted transport, access controls, and server-side rules restricting who may read maintenance records. No system is perfectly secure, and we cannot guarantee absolute security.
11. Your choices
You may opt out of text messages at any time by replying STOP. You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to retain it, by writing to the address or email below. We will respond within a reasonable time. Opting out or requesting deletion does not affect your rights or obligations under a lease.
12. Children
Our websites are directed to commercial tenants, property owners, and vendors. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
13. Changes to this policy
We may update this policy from time to time. The current version is always posted here with a “Last updated” date. Material changes affecting how we use information will be noted on this page.
